How to Choose the Right AI Tools

Over the past few weeks, I’ve shared focused roundups for specific needs — PR, content, design, video, voice, and business development — all aimed at helping marketers work faster and smarter without losing the human touch.
Today’s post is about the how: how to choose tools wisely, scale them responsibly, and make sure they actually serve your team’s goals.
AI can make marketing and communications work easier, but it can also create chaos if you adopt tools without a plan. I’ve tested dozens of platforms across writing, video, and business development workflows, and I’ve learned that sustainable success comes down to one thing: intentional selection.
Here’s the framework I use — a mix of my own experience and the “five C’s” of AI tool evaluation I shared earlier through Partnered Intelligence.
🧩 1. Clarity
Start by defining what problem you’re solving.Is your goal to create content faster? Polish communications? Automate reports? Without a clear purpose, AI becomes a distraction rather than a solution.
Ask: What does success look like — and how will I measure it?
⚙️ 2. Compatibility
Even the smartest tool fails if it doesn’t fit your workflow.Before buying, check whether the tool integrates with your CRM, CMS, or collaboration platforms. Look for open APIs and easy data exports.
Ask: Will this tool fit into the systems we already use, or will it create more work?
💬 3. Control
AI can generate, but you still need to govern.Establish guardrails for brand voice, tone, and approval workflows so AI-generated content aligns with your standards.
Ask: Who reviews what the AI creates — and how do we ensure it stays on message?
💰 4. Cost
Most AI tools start affordably, then scale fast by usage — words, minutes, credits, or seats.
Ask: What’s the total cost over time, and does the ROI justify it? Test with free tiers before committing.
🌐 5. Currency
The landscape evolves constantly. New entrants appear monthly; old ones pivot or sunset quietly.
Ask: How often does this tool update? Is the company investing in its roadmap — or fading from relevance?
🧭 Heuristics I’ve Found Helpful
Beyond the five C’s, I use a few simple rules when testing AI tools:
Start small, scale slowly. Pilot with one team or use case.
Pair tools intentionally. For example, ChatGPT + Canva + Pictory can cover many of a marketer’s daily needs.
Plan for human review. AI drafts, humans decide.
Watch recurring costs. Usage-based pricing adds up fast.
Document everything. Create short internal “AI playbooks” so team members know what to use and when.
Choosing AI tools isn’t just about efficiency — it’s about alignment. The best tech investments reflect your firm’s culture, capacity, and creativity.
I often remind teams: AI doesn’t make you smarter; it makes your habits visible. If your strategy is solid, AI will amplify it. If it’s not, AI will expose it.
